1. Who is responsible for your data

Sydän Ukrainalle ry (Y-tunnus 3543515-1), Längelmäentie 6 A 2, 35400 Längelmäki, Finland. Global Mine Action Hub is a program of Sydän Ukrainalle ry. For any privacy question, write to info@sydanukrainalle.org.

2. What data we process and why

Callback requests. When you fill in the “Request a call” form, we receive your name, phone number, the topic you chose, the language version of the site and the country your connection comes from. We use this only to call you back and answer your enquiry. Legal basis: your consent, which you give by ticking the box in the form.

Dog programme applications. If you apply to our dog programme as a kennel, breeder or future dog handler, we receive your name, email, phone number if you give it, your message and the language version of the site. We use this only to contact you about the programme. Legal basis: your consent. If we do not start cooperation, we delete these details no later than 12 months after you sent them.

Donation updates. If you leave your email in the “Support our work” section, we receive your email, your name if you give it, the type of support you chose and the language version of the site. We use this only to tell you when online donations open. Legal basis: your consent. We delete these details after we have informed you, and no later than 12 months after you left them.

Supporting members. If you apply to become a supporting member, we receive your name or company name, email, phone number if you give it, the level and payment interval you chose, your payment method and the language version of the site. We keep these details in our member register to manage your membership, send you news about our work and match your payments to your reference number. Your application is sent to our team’s Telegram chat, and the email with your payment details is sent through Resend. Associations in Finland are required by law to keep a member register.

Chat assistant and Telegram bot. Questions you type in the chat on our website or send to our Telegram bot are sent to an AI service to generate an answer. We do not save the conversation and do not use it to identify you. Please do not write personal or sensitive information in the chat. Legal basis: our legitimate interest in answering visitors’ questions.

Technical data. When you visit the site, our hosting provider processes technical data, such as your IP address and browser type, to deliver the site and protect it from attacks. Legal basis: our legitimate interest in running a secure website.

3. Who processes the data for us

Cloudflare, Inc. provides hosting, security and the AI service used by the chat assistant. Telegram delivers callback requests to our team’s chat. These providers may process data outside the European Economic Area. Cloudflare protects such transfers with the European Commission’s standard contractual clauses. Telegram processes messages on its own servers, which may be outside the European Economic Area.

We do not sell your data and do not use it for advertising.

4. How long we keep it

Callback requests are kept only as long as needed to handle your enquiry and are deleted no later than 12 months after it. Technical logs are kept by our hosting provider for a short time, usually a few days.

Member register details are kept while you are a supporting member and deleted no later than 12 months after your membership ends, except payment records, which we keep for six years as Finnish accounting law requires.

5. Cookies

The site does not use cookies or advertising trackers. We count visits with Cloudflare Web Analytics, which shows us anonymous totals such as the number of page views and does not identify or follow individual visitors. Your browser stores only the language version you chose, so the site can remember it. You can clear it in your browser settings.

6. Your rights

You can ask to see the data we hold about you, correct it, have it deleted, or withdraw your consent at any time by writing to info@sydanukrainalle.org. You also have the right to lodge a complaint with the Finnish Data Protection Ombudsman (tietosuoja.fi).
